RULES AND REGULATIONS
The Library’s mission
The Library is subdivided into three sections: the Corsiniana Section, the Academic Section and the Oriental Section. Its collections include substantial funds of manuscripts and printed material, resulting from acquisitions, gifts and bequests, which thus represent a precious testimony of both Western and Eastern culture.
The Library’s mission is to preserve, improve and enlarge its collections through the careful protection and conservation of books and to promote all the initiatives of study and research with the implementation of modern technology aimed at improving the safeguarding of the documents and promoting their access.
The Library is supervised by a Supervisory Board consisting of five members appointed by the Executive Board of the Accademia Nazionale dei Lincei, which also appoints the President. Almost every three months, the President calls a meeting of the Board’s members to whom the Director of the Library submits problems and issues regarding the conservation, cataloguing and reproduction of the works and the acquisition of books. The Director also brings the Board up to date on applicable legislation regulating libraries.
The Library is open from 9 am to 1 pm on Monday, Wednesday and Friday; from 9 am to 5 pm on Tuesday and Thursday. The Library is closed in August.
The Library is open to scholars and Fellows of the Accademia Nazionale dei Lincei for their studies and researches. Guided tours of the Library are available upon reservation.
To have access to the Reading Room readers must check in and hand their identity document to the Library’s staff in the Reading Room.
A register to enter acquisitions proposals is available to readers in the Reading Room.
Readers shall fill in a request form and hand it in at the Library’s distribution desk.
Unless otherwise indicated by the Director, no more than two printed works at a time, for a total of four volumes, and no more than one manuscript at a time can be requested. Should the reader leave the Reading Room, even momentarily, manuscripts must be returned to the Library’s staff.
Unless the original document is required for specific and essential reasons, readers will not be given the original material whether a copy or reproduction of the requested work is available in the Library.
Book distribution ends at 12 o’clock (3 pm on Tuesdays and Thursdays).
The Library provides help and advice to the readers regarding the use of catalogues, repertoires, works in free consultation and also guides the readers in their bibliographic queries.
Reproduction of books
The reproduction service (photocopies, photographs, slides, microfilm, digital reproductions) only applies to volumes (manuscripts and printed) in good state of conservation. Works that may be damaged by the process are excluded from reproduction.
Readers can request the reproduction of a work for their personal study purposes or for publishing, editorial or commercial use, in full compliance with the applicable regulations on copyright; readers are required to declare that the reproduced material will not be used with purposes other than those specified in their request.
Authorization for full reproductions of a work for publishing purposes is granted by the President of the Accademia Nazionale dei Lincei, when the Library’s rights are also established.
As a rule, reproduction of printed material is carried out in the Library’s premises by the staff and cannot be effected by the readers with their own equipment.
Reproduction requests must be submitted to the Director who will personally (or, on his behalf, a member of the Library’s staff on duty) grant the authorization.
The Library arranges for reproduction service also to remote readers, who shall bear the full costs of the service.
Loan (direct and interlibrary)
Direct loan is open to:
1) Scholars who shall provide evidence of their study and research programme needs and communicate their address, even if temporary;
2) Fellows of the Accademia Nazionale dei Lincei, university professors, researchers;
3) Scholarship holders, PhD students, undergraduates, graduates following high-education and specialization courses.
Direct loan is also open to citizens of non-EU countries who, besides providing evidence of their study and research programme necessities, can also produce a certificate stating the length of their stay and a letter of recommendation from their Consulate or Embassy or other cultural institution.
Users of the loan service (available from 9 am to 12:30 pm during the opening days of the Library) are given a card to be presented whenever required. Manuscripts, ancient printed documents, documents on non-printed form, volumes belonging to the consultation section (encyclopaedias, bibliographies, indexes), periodicals, prints, all the works that deserve special protection or are in poor condition are excluded from loan.
As a rule, two works, up to four volumes, can be borrowed. Maximum loan period is thirty days; readers can renew the loan for a further thirty days if other readers have not requested the same work in the meantime.
By the 15th of July of the year, all volumes must be returned. Beyond such a deadline, readers will be denied service until the borrowed books are returned. If borrowed volumes are lost or damaged, readers will be requested – via registered mail with return receipt – to see for their repair or replacement or, if should this be impossible, they will be charged an appropriate sum for compensation.
Readers who, after thirty days from the reception of the above stated request – unless due to reasons beyond the reader’s control – do not comply with the above rule will be denied access to the Library and reported both to the “Ministero dei Beni e delle Attività culturali e del Turismo” and to the authorities.
National and international interlibrary loan is effected only between libraries that accept the benefits and burdens of reciprocity.
Opening and closing procedure of the Library
The opening and closing procedure of the Library is carried out by the Director or by two members of the staff. The names of those responsible for the operations of opening and closing are indicated on the daily service order.
Closing procedure involves a scrupulous control of all rooms and bathrooms, all the windows and doors have to be closed, all power panels must be turned off; finally, the keys will be deposited in the box kept at the concierge of the Academy.
On completion of closing procedure, a report is drafted.
Any matter not governed by these Rules falls under the provisions of “Decreto del Presidente della Repubblica” 07/05/1995 n. 417 (published in the “Gazzetta Ufficiale” no. 233, 05.10.1995) regarding the rules on public libraries.
